Implementation of an Innovative Electronic Mechanism for Managing Leave Balances of College of Engineering Staff

​The College of Engineering at Samarra University has launched a package of development measures to modernize its administrative environment and upgrade the level of digital services provided to facilitate internal transactions. The Fingerprint Unit at the college, represented by its head, Eng. Barzan Khalaf Muhammad, adopted a dedicated program to calculate and track employees’ leave balances with high accuracy and efficiency.
​This system is characterized by its procedural ability to manage two types of leave, whether regular leave or hourly leave. The program operates automatically and instantly when an employee submits a leave request, issuing and printing the official leave copy directly via Microsoft Word.
​Technical integration in this system is achieved through a direct link between the printing process and the administrative update. Once each leave copy is printed successfully, the program automatically deducts the allocated number of hours for hourly leaves or days for regular leaves from the employee’s total cumulative balance stored in a database programmed in Microsoft Excel. This ensures real-time data updates, prevents any overlap or error in calculating administrative entitlements, and effectively contributes to accelerating the workflow and saving time and effort within the academic institution.
